The Grayhaven is a 20 room motel in Ithaca, a small city in the beautiful Finger Lakes region of New York State. We are an independent, family-owned and run business.

Job Description

We are seeking a motel director that is passionate about hospitality and enjoys the many facets involved in creating a great guest experience. This is a full-time job for a reliable self-starter, dependable, accountable, responsive, patient person. You’ll be working side-by-side with our current small-family / crew. As a mom-and-pop operation, we require a partner willing and able to roll up their sleeves, equal parts teammate & team leader.

Motel director assists in the daily operational oversight of our 20 room vintage motel, grounds and activities. This includes creating, refining, and implementing standard operating procedures for reservations, front desk, events, activity partnerships, housekeeping, maintenance, food and beverages. As one of Grayhaven’s consummate hosts you will also be checking-in guests, recommending itineraries of things to do, and helping to tend to other issues and property maintenance tasks when they arise. In a single day, you’ll be expected to interface with the owners, employees, vendors and guests. Must be able to transition from computer, to a guest, to a toilet plunger, and back to computer, all without batting an eye.

Job duties and responsibilities include but are not limited to:

  • Ensure safe, smooth, and organized motel operations
  • Oversee reservation details
  • Monitor and respond to online booking requests and manage calendar
  • Take reservations and answer questions by phone
  • Greet guests as they arrive
  • Handle the check-in and check/out process
  • Serve drinks and sell retail items such as s’mores and fire kits
  • Interact with guests and make recommendations for things to do in and around Ithaca
  • Help coordinate contracts and logistics for group bookings including weddings, retreats, workshops, wine tours and other events
  • Assist with Main House programs such as morning breakfast, evening happy hour, gallery openings and private events
  • Assist in marketing activities such as email campaigns, PR, contact management, and package creation
  • Communicate with housekeeping staff and help them with problems as they arise
  • Conduct room inspections daily to ensure cleanliness standards are met before each guest’s arrival
  • Help to ensure a positive, collaborative work environment for all staff
  • Operate on budget and help manage costs to hit profitability targets
  • Help ensure compliance with all fire, health and safety regulations at all times
  • Deal with issues or emergencies if and when they arise
  • Perform or assist with minor laundry and ground maintenance duties as needed
  • Be an ambassador for the Grayhaven
  • Assist with other tasks as needed

Knowledge, abilities, skill sets and requirements

  • Excellent customer service skills and a helpful attitude toward guests
  • Excellent project management and organization skills
  • Passion for hospitality, the Finger Lakes and the outdoors
  • Prior customer service and/or hotel experience
  • Familiarity with property management systems, Airbnb, and revenue management strategies a plus
  • Computer literacy, ability to run credit cards and make online bookings
  • Motivated self starter
  • Adhere to and be aware of any rules regarding health and safety  
  • Ability to lift, push and/or pull up to and including 40 pounds
  • Position appropriate attire
  • Punctuality and reliability
  • Love for dogs (and people)
  • Know how to build a bonfire, and have a good time
  • Must have consistent access to transportation to arrive at the Grayhaven, 657 Elmira Rd Ithaca, NY 14850
