Our Policies, Terms, Conditions

Things To Know

We are an old-school motel experience with ground-level rooms that have doors directly to the outside. In true motor lodge fashion, the majority of our property was built in the 1950’s and is situated next to a state road. Cottages date to the 1930’s and the Main House + Carriage House are about 40 years older than that. The historic nature of our property means that occasional ambient noise can be heard, the windows are original to each building, climate control can be variable, and sometimes the floor might creak. Our Elmira Road location means that we’re super convenient to State Parks, wineries, waterfalls, and downtown Ithaca. It also means that in some of our rooms you may hear cars going by at 35-45 mph. This falls right in line with what most guests coming to stay with us expect, but it is something to be aware of if you have a sensitivity to ambient road noise, dislike historic buildings and antique furniture, or prefer watching local cable to watching the birds.

Booking

We accept bookings online here and over the phone (607-272-6434). We typically have a two-night minimum stay on weekends, three nights on weekends during high season. We do open single nights as they become available, don’t be afraid to reach out! A credit card is required at the time of booking, and a deposit equal to 50% of your reservation is taken from the credit card to reserve your stay. The remaining balance will be charged to the card on file 14 days prior to check in. We require that all guests be over the age of 21 to make a reservation with us. All rooms are non-smoking. All rates are subject to state and local taxes. All rates are subject to change without notice.

Cancellation Policy

Cancellations impact us greatly, we ask your consideration in making and revising your reservations.

  • Third party bookings. If you booked with us using a third party site (booking.com, expedia, airbnb, etc.) you are subject to the cancellation policy that you agreed to at the time of booking. These reservations are typically non-refundable and require full payment in advance. We advise insuring these reservations.
  • Room deposits are non-refundable.  If you need to make any changes to your reservation, they must be made 14 full days prior to our local check-in time (3:00pm EST). Cancellations made 14 or more full days prior to our local check-in time will receive a voucher in the amount of the deposit that may be applied to a future stay with us.
  • Cancellations must be made 14 full days prior to our local check-in time (3:00pm EST) in order to avoid a penalty of the remaining balance of your stay. For example, if check-in is on Friday, cancel by Friday two weeks before check-in time. Cancellations made 14 or more full days prior to our local check-in time will receive a voucher in the amount of the deposit that may be applied to a future stay with us. If you cancel or change your reservation within 14 days of a reservation, you will be charged 100% of your reservation balance.
  • Please confirm cancellation requests in writing. Reservations are not considered canceled without receiving a cancellation confirmation email.
  • If you decide to shorten your stay while at the Grayhaven, you will still be charged for your full reserved time period.
  • We strongly encourage travel insurance. Purchase early / far out from the trip for the best rates. Travel Insurance Sites: allianztravelinsurance, sevencorners, aaa.

Additional Occupants

Our rates are based on double occupancy (two persons per room). For rooms that allow more than two guests, an additional fee of $25 per night is charged for each extra guest, including children.

For our Treman Lodge Suites only, the base rate for these suites includes four guests. An additional fee of $25 per night is charged for each guest beyond the four-person occupancy.

For babes in arms, you are welcome to bring a Pack ‘n Play at no extra charge. Kiddos 12mo and up are considered additional guests.

We do have a limited number of *cots and pack ‘n plays available to use during your stay. These may be added to your room, based on availability, for an additional charge of $25.

*Please note, only Treman Lodge rooms can accommodate a cot. Cots are not permitted in the Main House, Carriage House or Cottages. Air mattresses are not permitted in any of our rooms.

Room Capacity & Visitors

To ensure a comfortable stay and comply with safety regulations, please be aware of the maximum occupancy listed for your room. The maximum occupancy for each room is strictly enforced and cannot exceed the limits established by our safety codes.

Only individuals on the guest registry for each room are permitted on property. If you would like to have additional guests or visitors please notify us and obtain approval in advance, during office hours. Additional visitors and their vehicles must be registered with the front desk.

Pet Policy

Our full pet policy and guidelines are available for review HERE. Please be sure to acquaint yourself with these policies prior to staying with your pet.

Well-behaved dogs are welcome in many of our rooms. Advance notice is required. Dogs must be walked on leash at all times, and must be crated if left unattended in the room. Our direct booking pet fee is $25 per night for one dog. If you book through a third party (Airbnb, Expedia, etc.), the pet fee is $35-50 per night. Please contact us to make special arrangements for more than two dogs. Pet waste must be picked up and disposed of in the marked outdoor trash receptacles. If you are traveling without a crate we have a limited number of loaner crates available. Please let us know in advance that you need one and we’re happy to help make arrangements for your pet’s stay.

Service animals are, by law, welcome in all of our rooms. A service animal is a dog that is individually trained to do work or perform tasks for a person with a disability. Dogs whose sole function is to provide comfort or emotional support do not qualify as service animals under the ADA, and are therefore limited only to dog friendly rooms and are subject to the nightly pet fee.

Quiet Hours

Quiet hours are from 10 pm to 8 am. During this time, we ask that you respect your neighbors and keep noise to a minimum.

Housekeeping Policy

We do not enter guest rooms to provide housekeeping services or a daily “refresh” during stays. Don’t worry, this practice in no way means that you are stranded! Extra towels, paper products + more, can be found in the drawers of your bureau or the built-in desk / luggage rack in your room. If you’re in a room without a kitchen you’ll find a set of plates, cutlery and a wine bottle opener in the desk drawer.

You can call, email, or text the office if you need something new or something taken away or just need something in general during your stay. We are here to help!

Other Fees

Standard Charges are your room rate, applicable taxes, and any bar or property purchases. We only charge beyond the room rate and purchases if a policy is violated. We reserve the right to apply the following additional charges to the credit card on file for violations of property policy, including:

  • Smoking Policy Violation: A minimum fee of $250.00 will be applied for smoking (including e-cigarettes/vaping/cannabis) in a guest room or any enclosed area on the property.
  • Lost or Damaged Key: A fee of $200.00 will be charged for any lost key to cover the cost of re-keying the door lock for security.
  • Late Check-Out Fee: Check-out is strictly 11:00 AM. Unauthorized late check-outs will be charged $50.00 for every 30-minute increment past the designated time. Check-outs after 1:00 PM will be charged an additional night’s stay.
  • Pet Policy Violation (Failure to Clean Up): $75.00. This fee is applied for failure to immediately clean up after your pet on the property grounds.
  • Linen Damage or Excessive Soiling: Charges for stained or damaged linens are as follows: Wool Blanket: $245.00, USA-Made Duvet: $65.00, USA-Made Sheet: $25.00, USA-Made Towel: $10.00. Charges for other damaged linens will be assessed based on replacement cost. If you spill something and need a rag, please let us know! Do not use our white towels to clean shoes, cars, or other heavily soiled items.
  • Damage or Theft of Property / Excessive Cleaning: Guests will be charged the full cost to repair or replace any damaged or stolen item, plus a $85.00 per hour labor fee to return the room to its original, rentable condition. This includes cleaning fees for rooms left in an excessively dirty state that requires specialized service.
  • Wall Art Stolen or Damaged: Guests are charged the full cost of the piece. (All artwork is original and priced on a piece-to-piece basis by the artist.)

Care for the Historic Property: Grayhaven Motel is a 100+ year-old property seeking historic designation. Because many items on the property, including furniture, antiques, and built-in features, are original and one-of-a-kind, they would be extremely expensive or impossible to replace. We kindly ask you to help us preserve history by treating the property and its amenities with the utmost care. Please also be mindful of your neighbors, and treat all people here with respect and consideration.

Groups

Looking to rent the hotel for a large group or host a meeting or retreat? We can accommodate 50 overnight guests and have ample indoor and outdoor event and meeting space.  You’ll find a great overview of what booking the property looks like HERE. Contact us if you’re interested in reserving certain dates or hosting a retreat or event with us. Private meetings, parties, BBQ’s and catering events are also available.

Something smaller in mind and only want a handful of rooms? It’s easy to book a group of rooms for you and your friends here. Give a call and we’ll help choose the building that best suits your group and needs.

Graduation & Special Events

Cornell and IC commencement, college event, and holiday weekends are subject to our cancellation policy. Some of these dates require a 3 night minimum reservation. We strongly encourage “cancel for any reason” travel insurance when making reservations. We are happy to help your family make other arrangements during your commencement time in Ithaca. Just ask : )
